1. What we collect

When you forward a booking confirmation email to booking@hotelrefund.net, we extract the following information: hotel name, check-in and check-out dates, room type, number of guests, breakfast inclusion, cancellation policy, total price, and currency. We also retain your email address to communicate results back to you.

2. What we do not collect

We do not collect, store, or access any payment information such as credit card numbers, bank account details, or billing addresses. We do not access your email account — we only process emails that you voluntarily forward to us.

3. How we use your data

Your booking information is used solely to monitor prices across major booking sites until your check-in date. Your email address is used to send you regular status updates on what we're seeing, plus an immediate alert if a cheaper rate is found. We do not use your data for any other purpose.

4. Data storage and retention

Booking data is stored locally on our secure servers and is automatically deleted 30 days after your check-out date. We do not sell, share, or transfer your data to any third parties, except as necessary to process your claim (e.g., submitting evidence to the booking platform).

5. Third-party services

We use the following third-party services: Paddle (payment processing), Gmail (email routing), and Cloudflare (website hosting and DNS). Each of these services has its own privacy policy. Payment processing is handled entirely by Paddle — we never see or store your payment details.

6. Cookies

Our website uses Google Analytics to understand visitor traffic. Google Analytics uses cookies to collect anonymous usage data. No personally identifiable information is collected through cookies.

7. Newsletter and marketing communications

We send marketing communications (such as monthly hotel deal alerts and OTA policy updates) only to people who have explicitly opted in by submitting their email address through the subscription form on hotelrefund.net. We do not add anyone to our mailing list automatically just because they used our price-monitoring service.

When you subscribe, we store your email address along with the language you selected and the approximate country of the request (derived from your IP at the moment of submission, not stored as a raw IP). We use this only to send you these updates and to understand which regions our subscribers come from. The frequency of marketing emails is approximately once per month.

You can unsubscribe at any time by clicking the unsubscribe link in any marketing email we send, or by emailing booking@hotelrefund.net with "UNSUBSCRIBE" in the subject line. We will remove your address within 7 business days.

8. Your rights

You can request deletion of all your data at any time by emailing booking@hotelrefund.net with the subject "Delete my data." We will process your request within 7 business days.

9. Changes to this policy

We may update this privacy policy from time to time. Changes will be posted on this page with an updated revision date.
