Most people see the lower price, feel annoyed for a minute, and do nothing. That is a shame, because the booking sites that still run a best price guarantee will pay the difference when the identical stay is cheaper on a different website — non-refundable rates included. Here is the whole process, in the order it has to happen.

Step 1: Decide which route you are on

Step 2: Check your site's deadline — today

Every guarantee is tied to check-in, and missing the deadline is the one mistake nobody can fix for you.

Step 3: Make sure it is the same stay

The claim is judged on one question: is this the identical booking, publicly available, for less? Line up the two offers and check hotel, room type, dates, number of guests, cancellation policy and inclusions such as breakfast. The cheaper offer must be a public rate — not a member, corporate, app-only, coupon or package price. We cover every trap in why price-match claims get denied.

Step 4: Capture evidence that survives a review

Claims are checked against what is bookable when the site looks, which may be hours later. Your screenshots are what carries the claim if the price has moved by then. Capture:

  1. The offer page with the hotel name, room type, dates and number of guests visible.
  2. The price breakdown or checkout step showing the total with taxes and fees — not just the headline nightly rate, which is often shown before tax.
  3. The cancellation policy and breakfast line for that exact rate.
  4. The date and time — include your device clock or the browser's address bar in the shot, and keep the URL.

Two habits help: search in a private window while logged out, so you are not looking at a member price, and set both sites to the same currency, because differences caused only by currency or tax usually don't count.

Step 5: Send the claim — with everything attached

Open your booking on the site you booked with, and find its price guarantee (price match) form or customer service chat. Paste a short message with the booking number, the hotel and dates, both totals and the difference, and attach the screenshots. We wrote ready-to-edit versions for each site in price-match claim message examples.

Or let the tool do it: Refund Report takes your booking and the lower price, checks your site's deadline and the matching rules, and produces a claim letter you can save as a PDF plus the message to paste — in English, Korean, Japanese or Chinese. It runs entirely in your browser; nothing you type is sent to us.

Step 6: Keep the lower offer open

Reviewers sometimes ask you to show the offer again. Keep the page open or bookmarked until you have an answer, and reply quickly if they come back with a question — a claim that sits unanswered past the deadline is usually closed.

Why this is worth ten minutes

Hotel prices differ across sites more than most people assume: a 2023 CNBC analysis of 198,000 searches found the cheapest site varies by 10–15% for the identical room. The hard part is not the claim — it is noticing the lower price before the deadline. If you want that part handled, put your stay on the free tracker and we record the Agoda rate for it several times a day.

💡 Already found the lower price? Refund Report turns it into a claim letter and a paste-ready message in about two minutes.
